Overview
Dropdown columns are designed to standardize the data entered into your Labsheets. Instead of allowing free-form text, they restrict input to a predefined set of options. This helps:
Maintain consistency across records
Reduce input errors and typos
Make filtering, sorting, and reporting more reliable
Improve visual clarity for teams reviewing the data
Labsheets currently supports two types of dropdown columns:
List columns
Status
List Column Type
List columns allow users to select from a customizable set of text-based options.
Key Features
Users can define their own list of options
Each option is displayed as plain text
Multiple options can be added, edited, or removed at any time
Simple and flexible for general categorization
When to Use List Columns
List columns are best suited for situations where you need structured input but don’t require visual emphasis. Common use cases include:
Categories (e.g., Marketing, Sales, Engineering)
Tags or labels
Priority levels (if color-coding is not needed)
Locations or departments
Example
A “Department” column might include options like:
HR
Finance
Operations
IT
Status Column Type
Status columns build on the concept of list columns by adding color-coded labels, making it easier to quickly interpret the state of an item.
Key Features
Each option includes both a label and a color
Visual indicators help users scan and understand data quickly
Ideal for tracking progress or states
Fully customizable statuses
When to Use Status Columns
Status columns are best used when the information represents a state, stage, or progress indicator. For example:
Task progress (e.g., Not Started, In Progress, Completed)
Approval stages (e.g., Pending, Approved, Rejected)
Issue tracking (e.g., Open, Blocked, Resolved)
Example
A “Task Status” column might include:
🟡 Not Started
🔵 In Progress
🟢 Completed
🔴 Blocked
The colors make it easy to identify the status at a glance without reading each label.
Key Differences Between List and Status Columns
Feature | List Column | Status Column |
Input Type | Text | Text + Color |
Visual Emphasis | Low | High |
Best For | Categorizing | Progress or Task Tracking |
Customization | Options only | Options + Colors |
Best Practices
To get the most out of dropdown columns:
Keep options concise: Short, clear labels improve usability
Avoid too many choices: Limit options to what’s necessary
Use Status for visibility: Choose status columns when quick scanning matters
Standardize across sheets: Reuse similar dropdown structures for consistency
Review periodically: Update options as workflows evolve

Use List columns for simple, text-based categorization
Use Status columns when you want visual, color-coded indicators for tracking progress or states
Choosing the right type ensures your data remains both organized and easy to interpret.
