Introduction
Whether you’re creating Protocols or Labsheets, adding data, or setting up workflows, uploading files to Scispot is easy. This guide shows you how to add Word Docs, Excel sheets, Google Docs, and more to Labspaces and Labsheets. You’ll learn steps for creating templates, attaching files, or importing spreadsheets to keep your work in one place. Let’s get started!
Labspaces
There are a few scenarios where you may want to upload files to a Labspace.
Scenario 1:
You want to create a Protocol page based on a Word Doc or PDF
Log in to Scispot.
Expand the Scispot side bar by clicking the hamburger icon (three lines) at the top left of your screen. Click the newly shown "Templates" option.
Click the purple "+ Create Template" button at the top-right of your screen, and choose the "Protocol Template" option. Enter a title for your template, and optionally a description, then click the "Next" button.
Click the "Import" button. You have three options to add a file:
Drag and drop your file to the window from your computer
Click the "Upload data from file" button and choose your files
click the "Import" button to attach a Google Doc.
After importing the chosen file, wait for Scibot to process the data and show a preview.
Create the template. Everyone in your account can now use this template to create new Protocols based on the file you uploaded.
Scenario 2:
You want to upload a Word Doc, PDF, or Excel sheet into an already existing Labspace page
Log in to Scispot.
Open the Labspaces menu in Scispot by clicking the flask icon in the left-hand sidebar (by hovering over the icon with your mouse, you should see the word "Labspace").
You can either scroll through the list of Labspaces, or search for a specific one by name, using the text box toward the right-hand-side of your screen, at the top of the list.
Open the relevant Labspace page by clicking on its row from within the Labspace.
Click on an empty line where you want to upload the file.
Type
\file
and choose the relevant file from your computer. It will be embedded in the active Labspace page.
Scenario 3:
You want to embed your Google Doc/Sheets to an already existing Labspace page
Log in to Scispot.
Open the Labspaces menu in Scispot by clicking the flask icon in the left-hand sidebar (by hovering over the icon with your mouse, you should see the word "Labspace").
You can either scroll through the list of Labspaces, or search for a specific one by name, using the text box toward the right-hand-side of your screen, at the top of the list.
Open the relevant Labspace page by clicking on its row from within the Labspace.
Click on an empty line where you want to upload the file.
Type
\google-drive
and paste the relevant link to your document (make sure the sharing settings are set so that anyone with the link can access the document). It will be embedded in the active Labspace page.
Labsheets
There are a couple of scenarios where you may want to upload files to a Labsheet.
Scenario 1:
You want to upload one or more files to specific Labsheet rows for reference
Log in to Scispot.
Open the "Labsheets" page by clicking on the piece of paper icon in the left sidebar (hovering over the icon with your mouse will say "Labsheets").
Find the desired Labsheet in the list, or search for it directly by typing its name in the search bar near the upper-left of your screen.
Make sure that you have at least one Files column. This can be done by clicking the + (plus) icon in your Labsheet next to your last column, and selecting the "Files" column type.
On the row you want to upload your file, click the small "+" (plus sign) icon in the Files column cell. This will open a file picker menu. Then, click the "+ Add Files" button to select one or more files from your file system.
After following the above steps, a small label for each uploaded file will be shown in the column cell. You can click on a label to download that file.
Scenario 2:
You want to create a new Labsheet based on a CSV file or Google Sheet
Log in to Scispot.
Open the "Labsheets" page by clicking on the piece of paper icon in the left sidebar (hovering over the icon with your mouse will say "Labsheets").
From the Labsheets page, click the purple "+ Create" button at the top-right of your screen. From the list of options that show up, click "Import".
Select your preferred file format (Google Sheets, AWS S3 CSV file, or local CSV file from your computer). Follow the instructions on-screen to import your data and structure the new Labsheet.
A Labsheet based on your file will be created on the Scispot platform.
